Understanding your Residential Distribution Overview

The Residential Distribution Overview is essential information for publishers to effectively communicate to clients/potential clients where their ad dollars are specifically going —  high-value households within their communities. By focusing on single-family homes in specific carrier routes, your distribution team has  ensured your magazines reach audiences with the highest income levels and home values, meeting advertiser expectations and boosting reader engagement. Annual updates allow publishers to stay aligned with demographic changes, ensuring you consistently reach the most relevant audiences and provide clear value to your clients with each and every issue. Key Components of Residential Distribution Focus: Distribution is limited to single-family homes (SFDU), specifically excluding condos, townhomes, and apartments to maintain target demographics. Routes: Carrier Routes define specific postal routes within zip codes allowing for targeted distribution by demographic alignment. Quantity: An annual list is generated, selecting routes based on criteria such as median income and home value, targeting 6,500+ high-value homes in each territory. Residential Distribution Overview Layout The distribution report includes: - Zip Code: Lists assigned zip codes. - Carrier Route ID: Unique identifier for each postal route. - City: City location details. - SFDU: Total single-family homes on the route. - Median Income: Average income reported to the IRS for the area. - Median Home Value: Average Single Family Home property value. - Median Age: Average age of residents. - PHWC: Percentage of homes with children. - State: State. We’ll be happy to verify and make adjustments as needed. If you are concerned about an extreme error in border sizing, please submit a ticket with images for our team to review. _ Is my magazine bound or stapled? _ All magazines at 36 and 40 pages will be saddle stitched (stapled). Once the publication reaches 44 pages the magazine will be perfectly bound.  _ Why does my magazine only have two staples? _ We understand that your magazine only has two staples and that is perfectly normal. We use two staples on all of the saddle stitched magazines. _ I am having an issue with the print quality of my magazine - color is to dark, cover was blurry, magazine was not bound evenly, etc. _ Quality is our cornerstone. In order to investigate, we need the following information submitted in a ticket: - Is it a publisher copy, a business copy or a residential copy? - If a publisher copy, how many have this problem? (Estimated number is fine.) - If a business or residential copy, please send the address(s) associated with this so we can check the mail list for location. - Include photos of your concerns. _ Why is the mailing label upside down on my magazines? _ The mailing labels are actually supposed to be upside down as it is required by the post office in order to receive the best mailing rates. _ Can I change the cover coating/texture on my magazine? Can I change my cover from gloss to matte? _ Cover coating changes can be made once per year. Put in a ticket for a conversation with the Distribution team. 4. When considering adding a route, remember that you are including the entire route, not just the individual address. Some routes may include areas with mixed demographics or a range of income levels. 5. However, if the route includes a high-priority neighborhood or a valuable area for your publication, it may still be beneficial to include the entire route. This can ensure that desirable areas—such as a new high-end development or affluent neighborhood—are part of your distribution, even if some homes within that route may not perfectly match your target demographic. 6. Postal Carrier Route: route number that starts with "R" or "C", followed by numbers (e.g., R061). R (rural) & C (city) are just placeholders these days and do not necessarily mean rural or city any longer. 7. Postal Zip Code: mailing zip code (e.g., 64108). 8. Using your Residential Distribution Overview or Residential Routes list in ARC, compare the postal route number and zip code obtained from Melissa Lookup (e.g., R061 64108). 9. It is critical to verify both the route number WITH the zip code and as many zip codes have the same route numbers. If you do not look up the route under the correct zip code, it may appear missing when it is, in fact, part of your distribution. 10. If the route is listed, you are currently mailing to this home. If it is not listed, you are not mailing to this home. 11. Single addresses can be added in as an Additional Reader.  Use local insights to determine if expanding to entire additional routes would benefit reach such as: 12. New residential developments 13. Revitalization of older homes or areas 14. Current “Hot Spots” Existing Publishers: Make note of these areas for tier growth or Annual Distribution Review. New Publishers: Make note of these areas and schedule a distribution call before launch to see how these could fit into your initial distribution. How to Navigate the Additional Readers Tab

For Publishers to review critical insights into their magazine's additional reader distribution and to make changes each month. Steps: 1. In ARC, go to Distribution found on the left menu. 2. Click on Additional Readers on the top bar. 3. Select the month you want to view by clicking on the arrows to the left and right of the month shown. Add Additional Reader:  1. Click on Add Additional Reader.  2. The reader details box will appear to enter the name, company name, address, city, state, zip code, and number of copies.  3. Under Type, assign the reader as a Business, Customer, or Additional Reader.  4. You can also assign a begin/end issue if this person should receive a select number of issues.  Changes to Publisher Copies:  “My Copies” is your total number of publisher copies and where they are to be delivered.  - If you are a publisher setting up your account for the first time, you will want to click on Add Additional Reader and follow the steps listed above. Before saving, check the My Copies box to save this contact for your publisher copies.  - To edit your copies or contact information, click on your address under “My Copies” and a box will appear for editing.  - Note that if you change your address in your profile, it will not automatically carry through to distribution. You will have to manually enter it in distribution to change the delivery address for your copies. - Also note that any quantity changes will carry through to the following month. So if you need extra copies for October, you will adjust that month, then click to November and reset your copy quantity back to the original amount.  Additional Readers List: This list encompasses three types of distribution recipients: Businesses, Customers, and Additional Readers. The list can be sorted by using the carrot next to each column header.  - Business: This is the business list we originally set in your distribution. You are welcome to add, delete, and make changes to this list. Click on the address and a box will pop up for you to make changes.  - Customer: These are your ad partners. They are automatically added to distribution when the contract is assigned. They are typically highlighted in blue when they are active. It is good practice to check these before your first ad deadline. If a contract is signed without an address attached it will not pull over an address for distribution. You will need to manually add the address by clicking on the address area for the box to pop up.  - Additional Reader: This is anyone who requests the magazine that is not a business or a customer. This list is typically friends, family members, or community partners. You can make changes to the address by clicking on the address and a box will pop up to make changes. Note: If you are concerned an additional reader is not receiving their copy and have verified they are listed correctly under the Additional Readers list, please submit a support ticket. How to Navigate the Additional Readers Tab in ARC https://embed.app.guidde.com/playbooks/p4rDtmnxhATPuAMCtB2NwJ 1. Understanding Additional Readers An additional reader is anyone added to the mailing list outside of the residential distribution routes. There are four different components that make up the additional readers list: Publisher Copies, Customers, Businesses, and Additional Readers or specific individuals/single addresses. Using the Additional Readers tab, publishers can strategically place the magazine with key local businesses and influential community members, maximizing visibility and building valuable connections. Understanding Additional Readers 2. Publisher (My) Copies and Customers Additional readers are individuals or businesses outside the residential mailing routes who receive copies of the publication. These readers are divided into four main categories. First are the Publisher Copies or My Copies. These are for the publisher’s personal distribution. Most Publishers receive 200-300 copies per month to be used for prospecting and sales purposes or promotional events. Next are Customers. Advertising clients are automatically added to the additional readers list as a "Customer" when an agreement is signed. They will begin to receive copies at the contract start date. Publishers can update the copy quantities if a client needs to receive more than one copy. Be sure to remove them as a "Business" to avoid duplication on the additional readers list. Publisher (My) Copies and Customers 3. Businesses and Additional Readers Next are Businesses. These are high-value local businesses within the Publisher's zip code territory who do not currently advertise with City Lifestyle. The Distribution team will compile the list and upload it into ARC where Publishers can edit, remove and add businesses to focus on what they like to target in their area. Lastly are Additional Readers personally selected by the Publisher who might be influential in the community or potential clients that are not already within the residential mailing routes. These could also be writers, photographers or family. Businesses and Additional Readers 4. Policy and Expectations There are policies and expectations around managing additional readers. The publisher is responsible for managing and keeping the additional readers list up-to-date. Once a magazine has been printed, there is no way to get additional copies. Changes and updates need to be entered by the publications ad deadline. If a change is made to the number of copies, that number will continue to reflect that change going forward. If this is meant to be a temporary change, publishers must change this number prior to the next issue in ARC back to the desired quantity. Policy and Expectations 5. Policy and Exceptions Limitations and balance are important regarding Additional Readers. Do not add entire subdivisions as additional readers. If a publisher wishes to include a subdivision, they must add it as a route through the annual residential route change opportunity. Do not add areas outside the designated territory. Out-of-territory entries will be removed from the distribution list. The exception to this would be family and close friends, they may be added selectively. Limit additional readers to high-value contacts, such as potential clients and community influencers, to maximize visibility and connection. Policy and Exceptions 6. Policy and Expectations Cost Management is also important. Publishers are responsible for distribution costs for every copy. Limit additional readers to limit costs as this method does not provide high saturation rates. Residential distribution is the most economical method for mailing. The exception to this would be family and close friends, they may be added selectively. Limit additional readers to high-value contacts, such as potential clients and community influencers, to maximize visibility and connection. Policy and Expectations 7. Click "Distribution" In ARC, click on the Distribution tab on the left hand side. Click 'Distribution' 8. Click "Additional Readers" Click on the Additional Readers tab at the top of the page. Click 'Additional Readers' 9. Select magazine Choose the magazine from the dropdown on the left. Select magazine 10. Select month/year Select the month using the blue arrows near the top center of the page. Select month/year 11. Annual Review of Residential Distribution

Annually each title will be reviewed by distribution to ensure that all route changes, income adjustments and home value modifications have been taken into account for the best possible reach to each and every client signed. Distribution will reach out with a new residential overview email detailing current mailing routes vs. recommended changes. Feel free to ask questions. As your publication(s) grows, this is also the time to check your tier for additional perks such as additional residential routes. Increasing routes means increased readership, reach and brand recognition and selling power!  Annual Residential Distribution Overview Each year, the Distribution team will send you an email with your Residential Distribution Overview. This email includes: - A summary of your current routes - Recommended routes to keep - Recommended routes to remove - Recommended routes to add Recommended mailing route adjustments are based on the latest median home values and median income in your territory. For New Publishers: 1. Use this opportunity to familiarize yourself with the areas covered to answer questions when selling. 2. If a hot new area is coming into play, check to see if it’s included. If not, set up a call with distribution to see how to best swap this area with one already chosen. 3. If a specific area seems to be missing, set up a call with distribution to see why that is. Our magazines mail to full mailing routes, there could be something that is pulling the area out of contention. There are options. For Existing Publishers: 1. As the local expert on your territory, you may have insights into changes in your area that the Distribution team may not be aware of. 2. Compare your current routes with recommended adjustments to see how or why these may have been made. Do not hesitate to ask questions.  3. Use the provided lists and lookup tools (such as Melissa Lookup or EDDM) to examine route specifics. Making Distribution Route Changes (Upon Annual Overview) Respond to the Distribution Overview email with your requested changes and include: - Specific routes to add or remove. - Feedback on cost-saving opportunities or distribution strategies. - Local factors or changes you’ve observed, such as new residential developments, new business developments bringing revitalization, or additional growth coming to your community. shifts in demographics, or changes in business density. The Distribution team will review and confirm the changes or notify you of any required adjustments or concerns. Requesting Early Changes (Outside of Annual Review) Publishers may request adjustments before the annual Residential Distribution Overview if necessary. Requests will be reviewed by the Distribution team. Approval is subject to: - Significant changes in territory demographics or home values. - Strategic needs for publication success. If approved, early changes will incur fees and count as the annual route change for that year. Consider Distribution Tiers and Policy Stipulations The number of routes and total distribution volume is determined by your publication’s distribution tier. - Refer to the 2024 Distribution Policy for full details on each tier. - Changes are locked for one year. If a second adjustment is requested within the same year, it will require approval and will incur a fee for tiers Gold and above.

2024 Distribution Policy

The Distribution Policy is strategically designed to guide publishers in making changes at the right time, ensuring both affordability and effective reach. Understanding this policy allows publishers to manage their publication's growth within contract terms, making it possible to expand strategically without incurring unnecessary production costs and fees. Requirements - A signed franchise agreement must be on file before any distribution changes can be made. - Each distribution change incurs a $500 fee.  - This fee will only be waived one time per year if the publication is at Gold status or higher.  - If a publication falls back below Gold status, the publisher must then adhere to the distribution policy for their current tier. - All changes are within your territory’s current zip codes. Change in Distribution includes - Route Adjustment (within your current territory’s zip codes) - Route Increase (within your current territory’s zip codes) - 1x change per year is recommended (fees may apply based on policy by tier) - A second change may be permitted upon approval (a $500 fee will incur) Distribution Policy by Tier - Just Launched ($16K - $19.9K): - No changes in distribution or binding are permitted at this stage to maintain stability. - Bronze ($20K - $24.9K):  - Allotted one annual route change for $500. - Silver ($25K - $29.9K):  - Allotted one annual route change for $500. - Perfect Bound Binding is available when a publication reaches a total page count of 44 pages AND generates a minimum revenue of $25K. - Gold ($30K - $39.9K):  - Allotted one annual route change for $0.  - Distribution can increase up to 8,000 Copies with a 3-month revenue forecast of $30K+.  - Platinum ($40K - $49.9K):  - Allotted one annual route change for $0.  - Distribution can increase up to 10,000 copies with a 3-month revenue forecast of $40K+. - Diamond ($50K - $60.9K):  - Allotted one annual route change for $0.  - Distribution can increase up to 12,000 copies with a 3-month forecast of $50K+. - Black ($70K+):  - Allotted one annual route change for $0.  - Distribution can increase up to 15,000 copies. *See chart below for a quick overview of the Distribution Policy by tier. Tips for Managing Additional Readers - Your additional readers are readers not included in your regular distribution routes. They include businesses, clients, or added individuals. - Additional readers' entries are self-managed by the publisher through the ARC. - It is ideal to limit additional readers to a minimum, as this distribution method does not have high saturation mailing rates and incur additional postage costs. - Do not add entire subdivisions as additional readers; use annual route changes for this purpose instead. - Do not add areas outside your territory. Areas outside of your territory will be removed from the distribution list. - Maintain a balance of 500 business and client readers. - Be sure to add potential clients to your distribution list. Please review your supplied overview. The data on this overview contains supplied averages of each postal route.  If the numbers on your media kit do not reflect the values believed to be accurate for the mailing postal routes, please provide a few addresses within your routes where homes have sold for the maximum value you're asking to be listed on the media kit. We’ll be happy to verify and make adjustments as needed. Many of our publishers obtain this information from their real estate partners. It’s essential to emphasize that the home must have sold for the specified price, not simply be listed at that price. City Lifestyle participates in the CVC verification process for truth in publishing, so all claims on our media kits must be verifiable during the annual audits. You may want to use Zillow to look for homes that are of the highest value if you do not have a real estate partner.  We use Zillow as a tool to easily verify individual address sale information - looking for specific address information - basically a spot check when asked to research a specific address. HOWEVER; we also check two other sources for validity. _ How do I order additional media kits? _ Additional Media Kits can be ordered through ARC under Training and Documents, click the Order Materials tab.
